To respond to enquiries, compare packages, prepare member records, support claims, arrange services and keep clear contribution or receipt records.

How we protect it

Personal information should only be accessed by authorised staff who need it for member support, claim handling, payment reconciliation or family communication.

Document access

Live document copies should sit in restricted storage with role-based staff access, audit logs and office-approved sharing channels.

Payments and receipts

Payment records should show the member reference, month, amount and receipt status without exposing sensitive family details in reminders.

How long we keep it

Records are kept only for as long as needed for service delivery, legal obligations, member administration, accounting and reasonable family follow-up.

Your choices

You can ask the office to correct contact details, confirm what information is held on a member record, explain why a document is needed, or request deletion where the office can lawfully and practically do so.

Deletion and retention decisions may depend on active membership, claim support, payment reconciliation, accounting, legal duties and family-service records.
